Your company's information is sensitive, and so is information about the people behind it. This policy explains what we collect, why, and the choices you have.

1. Who we are and what this covers

This Privacy Policy explains how Rubicon Growth Co., LLC ("Rubicon," "we," "us" or "our") collects, uses and shares personal information when you visit rubiconos.com, create an account, apply for a readiness report or use the Rubicon platform (together, the "Services").

It also explains how we handle information about people who appear in the public records we analyze, such as company owners, officers and registered agents.

2. Information we collect

Information you give us

  • Account details: name, work email, password and, if you use a social or single sign-on login, basic profile details from that provider, such as your name and email.
  • Application and company information: details you submit about your company, team, traction, financials and documents, and your job title and phone number.
  • Communications: messages, demo requests, feedback and notes from calls and working sessions.
  • Payment information: handled by our payment processor. We receive confirmation of payment and limited details such as the card type and last four digits, not your full card number.

Information collected automatically

  • Usage and device data: pages viewed, features used, IP address, browser type, device information and approximate location derived from your IP address.
  • Cookies and similar technologies: used to keep you signed in, remember preferences and understand how the Services are used. See Cookies below.

Information from public records and third parties

  • When we screen a company, we collect information from public records and licensed data providers, such as business registries, court and lien filings, trademark records, sanctions lists, credit information about businesses, and news. This can include the names and roles of individuals connected to the company.

3. How we use information

We use personal information to:

  • create and manage accounts and verify identity;
  • provide the Services, including running screens, preparing reports and scheduling working sessions;
  • process payments and send receipts, service messages and updates;
  • respond to questions and requests;
  • protect the security and integrity of the Services and prevent fraud or misuse;

  • comply with legal obligations and enforce our Terms of Service.

With your permission, we may also send you news about Rubicon. You can unsubscribe at any time.

4. Automated analysis and AI

Rubicon uses software, including artificial intelligence tools, to gather, organize and summarize records. We use service providers for this processing under contracts that limit how they may use your information. We do not allow those providers to use your information to train their general-purpose AI models.

Our reports support human decisions. We do not use the Services to make decisions about individuals that produce legal or similarly significant effects on them.

5. How we share information

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We share information only as follows:

  • Service providers who help us run the business, such as hosting, authentication, payment processing, data providers, AI processing, email and analytics. They may use the information only to provide services to us.
  • People you choose to share with, such as when you share a report with your advisors or co-investors.
  • Legal and safety reasons, when we believe disclosure is required by law or needed to protect the rights, property or safety of Rubicon, our users or others.
  • Business transfers, as part of a merger, acquisition, financing or sale of assets, subject to this Policy.
  • Affiliates under common ownership with Rubicon, where needed to operate the Services, under the same protections described here.

6. Cookies

We use necessary cookies to keep the Services working and signed in, and analytics cookies to understand how people use our website. You can control cookies through your browser settings; blocking necessary cookies may stop parts of the Services from working. We honor Global Privacy Control signals where the law requires it.

7. How long we keep information

We keep personal information for as long as your account is active and as needed to provide the Services, then for as long as necessary to meet legal, accounting and dispute-resolution needs. Application materials and reports are kept for the life of your account unless you ask us to delete them sooner. When information is no longer needed, we delete or de-identify it.

8. How we protect information

We use administrative, technical and physical safeguards designed to protect personal information, including encryption in transit, access controls and logging of access to reports. No system is perfectly secure, so we cannot guarantee absolute security. If we learn of a breach that affects your personal information, we will notify you as required by law.

9. Your choices and rights

You can update your account details at any time. Depending on where you live, you may also have the right to:

  • know what personal information we hold about you and get a copy;
  • correct inaccurate information;
  • delete your information;
  • opt out of marketing emails; and
  • not be treated differently for exercising these rights.

10. If you appear in our research

If you are an owner, officer or other person named in public records about a company we analyze, we process that information because it is publicly available and relevant to evaluating the company. If you believe information about you is inaccurate, or you want to exercise the rights above, contact us at hello@rubiconos.com. Where the record comes from a public source, we may direct you to that source to correct it.
